Position Summary

The Inventory Specialist is responsible for all aspects of inventory management.


Training Outline for First 30 Days



By End of Second Week
Place material orders with vendors
Maintain Purchase Order Log and issue purchase order numbers as needed
Enter Purchase Orders into Varnet and print Redi Carpet Purchase Orders
Understanding of Freight Percentage
Using appropriate receiving documents, receive inventory into Varnet
Generate and review Receipt Reports



By End of Fourth Week
Generate and Review Inventory Study reports
Determine appropriate ordering quantities
Process Bin Transfers, Stock Adjustments, and Return to Stock transactions
Issue item numbers and set up new items in Varnet
Process Sale of Supplies to Installers



By End of Sixth Week
Freight Gain: FTL vs LTL
Ensure that receiving documents are properly completed by Warehouse personnel
Ensure that all aspects of item maintenance are entered properly (sort names, descriptions, stats codes, pricing groups, etc)
Schedule and supervise regular cycle counts
Process Monthly Pad Gain
Bin Audits



By End of Eighth Week
Assist Account Managers with inventory related questions
Monitor Mill Claims reconciliation and follow up on payment of claims
Generate 'Specials' lists for Account Managers
Maintain inventory levels in accordance with Branch goals
Schedule and supervise monthly pad counts within three days following the end of every month
Review the Open PO Line Report at the of every month and resolve aged line items
Conduct Bin Audits weekly - Proper Bin Transfer procedures, Measure Balances being processed, Segregated Bins for Specials

Sheet 3: How to use Training Plan










a. Name of Employee receiving the training, their location, etc.






b Explanations of the depth of mastery required for the position (f. section). There is a default level of mastery set up, but this can be changed based on preferences of the SVP, RVP, OC. Branch size and how much cross-training is necessary for the branch to run should be considered when this decision is being made.






c. Key activities or requirements for the position. This list may be modified to meet specific needs of the Branch.






d. Status: This is the status of the activity as of the current date. Options are Completed, In Progress, Not Required and On Hold. If an item is required to be Mastered but has only been Observed during training, then the Status should be marked as "In Progress". It would be marked "Completed" once the required level has been achieved.






e. Contact: If the Trainee is to meet with someone other than the Training Specialist or Operations Coordinator for training, list the person's name and/or department. This could be specified as a room in a specific branch such as ops office, warehouse, etc.






f. Depth Required: This is the Depth of Mastery for this line item required for the position.






g. Depth Achieved: This is the Depth of Mastery achieved thus far for this line item. Use this field to check off training progress until the level of specified Mastery from Depth Required is obtained.






h. Date Achieved: Log the date each topic was covered or observed. This date corresponds to the Depth Achieved level.






i. Trainer Signoff: The Trainer should initial after completing g and h. This should be discussed with the Trainee to ensure that both are in agreement with the level of mastery obtained.






j. Trainee Signoff: The Trainee should initial after they feel they have obtained the required level of mastery for that line item. This should be discussed with the Trainer to ensure that both are in agreement with the level of mastery obtained.






k. Notes to Trainee: Any notes or feedback for the Trainee should be noted here.






l. Notes to Manager: Any notes or feedback for the Manager should be noted here.






m. 30 - 60 - 90 Day Follow Ups: Trainer will contact the Trainee at 30 day intervals during first 90 days after initial training. Trainer will check if any items are not marked as "Completed" and arrange further training if necessary. It is assumed that Trainee will continue to improve and master skills while on the job, therefore they may agree to change their Depth Achieved level and signoff for that item.
