Somerset Academy Miramar Summer Camp Program Guidelines June 10, 2013– August 2, 2013 SUMMER CAMP OFFICE INFORMATION The Summer Camp Office hours are from 9:30 a.m.- 6:00 p.m. We can be reached at 305-829-1885 ext. 300. If we can be of any assistance, please do not hesitate to call. We can also be reached through e-mail at summercamp@somersetmiramar.com. PROGRAM COMPONENTS Summer Camp The summer camp program will begin promptly at 8:00 a.m. All students should be in their classrooms by 8:30 a.m. Attendance will be taken and our daily activities will begin. Each class will have a camp counselor, with a maximum of twenty children in each class. A regular day in our Summer Camp will consist of library time, computer, Reading/Math/Science activities, dance, fitness, game room, arts and crafts, games and outdoor sports as well as other fun filled activities. Lunch must be brought from home daily. All field trips will be during the hours of 9:00 a.m. – 4:00 p.m. The Summer Camp program ends at 6:00 p.m. However, students may be picked any time before that, except on field trip days. Field Trips Our Summer Camp field trips will be twice a week, every Wednesday and Friday. Some weeks will only have one “away” field trip since there are some in-house field trips planned. All field trip costs are included in the weekly program fee. On field trip days (excluding “in- house” field trip days,) your child must wear the camp T-shirt and shorts. We strongly suggest that you provide water bottles, a hat and sunscreen for our outdoor field trips. Children will not be allowed to purchase lunch at the field trip site, since lunch must be provided from home. Attire On days when we stay in school, students are encouraged to wear shorts, T-shirts and sneakers with socks. Even though our camp will have a fun and relaxed atmosphere, presentation is of utmost importance. Please refrain from wearing any clothing that is inappropriate for school. Also, many activities will be conducted outside, so attire should be planned according to the weather and suggestions outlined on the survival guide received with the monthly events calendar. Every child will receive one free t-shirt upon enrollment. The Somerset Academy Miramar Summer Camp T-shirt is mandatory for ALL field trips. This way our staff will be able to identify our campers from the general public. Without this t-shirt your child will not be allowed to participate in the field trips. If your child will not be participating in a specific field trip they will not be allowed to come to camp until 3:00 p.m. for that specific day. No exceptions will be made. REGISTRATION Office Hours You may register your child for Summer Camp in the office between the hours of 9:30 a.m. to 6:00 p.m. There is a one-time registration fee of $40.00 per child. The registration fee is non-refundable. CASH ONLY PAYMENTS. There will be no preferences given as to instructor or activity leader upon registering your child. Emergency Contact Information Registration cards are not considered complete without EMERGENCY CONTACT INFORMATION. Please fill in all information on the card including the front of your child’s registration form where authorized names are listed for pick-up. It is extremely important that you notify the summer camp office, if there are any changes in the parent contact and/or emergency contact card information. Insurance It is mandatory to provide us with proof of insurance for each camper. No child may attend the Summer Camp without purchasing insurance/ bringing proof of insurance. FEES Fees must be paid in advance based on the enclosed payment schedule. Fees MUST be paid in CASH ONLY. There is no partial payment of services. You must register your child for a complete session. Refunds or credits will be issued only if the child misses 5 or more consecutive days. Parents must request the refund in writing Payments are to be made in the Summer Camp Office from 8:00 a.m. – 5:00 p.m. NO CHILD WILL BE ALLOWED TO BEGIN A SERVICE PERIOD FOR WHICH PAYMENT HAS NOT BEEN MADE. Federal Income Tax Deductions Some program costs may be deducted from your federal income taxes. Therefore, you should save all your receipts for services rendered from the Summer Camp Program. Credit/Refund Policy for Summer Camp Program A student absent for 5 or more consecutive days from the Summer Camp Program may receive credit for the amount of paid days absent, (with the exception of holidays). If you know your child will not attend a week, please inform the office ahead of time. At the request of the parent, this amount may be credited for the following service period. LATE FEES Summer Camp Late Pick-Up Fees Children must be picked up by 6:00 p.m. After the designated times you are considered late. Beginning at 6:01 p.m. an additional $1.00 will be charged per minute per child. Consistent late pick-up may result in the child being withdrawn from the program. Please note this fee will be collected on the same day the child is picked-up late and must be paid in CASH. BEHAVIOR/DISCIPLINE POLICY All children will be under the supervision of qualified personnel. Guidelines and rules for the Summer Camp Program are necessary in order to provide a safe learning environment. The rules are as follows: School Rules 1. Students must follow directions the first time given. Cooperation, self-control, and respect for adults and other students are expected from each student. Use of profanity or name-calling is prohibited. 2. No running is permitted on the school grounds at any times. This includes arrival and dismissal times. 3. Hands, feet, and objects are kept to oneself. Fighting or play wrestling is not allowed at any time and may result in immediate suspension. 4. A pass from the classroom teacher is required at all times upon leaving the classroom. 5. Gum, candy and/or toys are not permitted in school. Toys and other personal items such as CD’s, MP3’s, phones and DVD players will be confiscated from students and returned only to their parents. 6. Writing on or defacing school property, (building, walls, desks, books, etc.) is never permitted. Students who violate this rule will be responsible for clean-up, repair, or replacement as necessary. 7. The restroom must be kept neat and clean at all times. All trash must be placed in trash cans. 8. All rules apply in and outside of school location, during the hours of the summer camp. Since the Summer Camp is a service and not a mandatory program, students who do not behave according to the above mentioned disciplinary policy may be prohibited from participating in certain activities, such as attending field trips, and may be withdrawn from the Summer Camp Program.
